Lead time in Labuan Bajo is not one number, because you are not buying one product. A cabin on a shared phinisi and a whole 40-metre hull behave completely differently in the calendar, and so do the twelve months of the year.

Why does whole-boat charter close before cabins?
Simple arithmetic. There is one of each boat. A shared departure can sell its last cabin at short notice because the boat is already committed to sailing; a whole-boat booking has to find an entire empty week on one specific hull. When a group takes a boat for five nights, it removes that vessel from three separate weekends of cabin inventory.
The practical consequence: if you are a group of eight or more and you have a fixed week, the boat is the first thing to book — before flights, before hotels. Flights to Labuan Bajo are reschedulable. A 40-metre phinisi in the third week of July is not.
What do deposits and cancellation terms look like?
Terms vary by operator and by boat, so treat this as the shape of the market rather than a contract. A deposit at confirmation with the balance due some weeks before departure is the normal structure, and cancellation charges usually step up as you approach the date. Two things worth insisting on in writing before you transfer anything:
- What the rate includes — cabins, meals, snorkel gear and transfers usually inside; park entry, alcohol, certified diving, drone permits and gratuities usually outside.
- What happens if the boat cannot sail — weather, mechanical or ranger-schedule reasons. A rerouted itinerary is common in monsoon months and the policy should say who bears what.

Does booking early actually save money?
Sometimes, and 2027 is a year where it is measurable. On the published card, Magika’s 3D2N charter moved from USD 9,500 to USD 11,000 between the 2026 and 2027 sheets — about 15 to 16 per cent. Rate sheets are reissued, not renegotiated, so a confirmed booking at last season’s sheet is a genuine saving rather than a marketing line.

What about last-minute?
It exists, and in February or March it can be excellent value. But last-minute in Komodo means taking whatever hull is empty, which is a different question from taking the hull you wanted. If you are relaxed about the boat and firm about the budget, wait. If you have read the specifications and decided which deck plan suits your group, do not.
What does an operator need from you to hold a boat?
Enquiries stall because the traveller sends dates and nothing else, and the operator cannot quote against dates alone. Send these six things in the first message and you will normally have a real answer, with real availability, the same day.
- Exact dates, and how flexible they are. “14–17 July” and “any three nights in the second half of July” produce completely different answers, and the second usually produces a better boat.
- Headcount, split by adults and children with ages. Ages drive cabin allocation, life-jacket sizing and whether a family cabin configuration is possible.
- Cabins or whole boat. If you do not know, say the headcount and let the operator run both — the crossover sits around eight to ten paying adults.
- Divers or snorkellers. Certification levels and rough dive counts, because they determine which sites are on the table.
- Your arrival flight. It decides whether day one is realistic or whether you need the night before.
- Anything non-negotiable. A honeymoon cabin, a birthday, a dietary requirement, someone who cannot manage the Padar steps.
